1. Controller

The controller for data processing on this website, for data submitted through the forms in our LinkedIn ads (section 11), and for photos and videos taken at our events (section 13) is:

2. General information on data processing

We process personal data only to the extent required to provide a functional website and our content and services. The legal bases are in particular Art. 6(1)⁠(a) (consent), (b) (performance of a contract), (c) (legal obligation) and (f) (legitimate interests) GDPR.

3. Cookies and consent

A cookie banner appears on your first visit. Analytics and marketing services load only if you have given your prior consent (Art. 6(1)⁠(a) GDPR, § 25(1) German TDDDG). If you decline, no tracking loads. The website works without restriction.

Your decision itself is stored in your browser's local storage; this storage is required for operation and is exempt from consent under § 25(2) TDDDG. You can withdraw or adjust your consent at any time with effect for the future via the “Cookie settings” link in the footer of every page. After 12 months, we ask for your decision again.

How long these entries remain in your browser:

• rc-consent-v1 (local storage, required): your decision, 12 months.
• rc-theme (local storage, only if you choose the sun or moon icon (“Light” or “Dark”) in the footer; exempt from consent under § 25(2) no. 2 TDDDG, not sent to us): your color scheme, kept until you select “Auto” again.
• _ga and _ga_… (cookies, only with consent to analytics): Google Analytics 4, up to 2 years after your last visit.
• _fbp and _fbc (cookies, only with consent to marketing): Meta Pixel, up to 3 months after your last visit.
• li_fat_id, li_giant, bcookie, li_sugr and other LinkedIn cookies (cookies, only with consent to marketing): LinkedIn Insight Tag, up to 1 year.

All fonts are served locally from our server; no connection is made to Google Fonts or other font services.

4. Google Analytics 4

If you have consented, we use Google Analytics 4, a web analytics service provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (“Google”). Google Analytics uses cookies and similar technologies that enable an analysis of your use of the website (e.g. pages visited, time on site, approximate origin, device used). The legal basis is your consent (Art. 6(1)⁠(a) GDPR); we integrate the service with Consent Mode enabled.

Google Analytics 4 does not log IP addresses; they are used only for rough geolocation and then discarded. Data may nevertheless be transferred to Google LLC servers in the USA. Google is certified under the EU-US Data Privacy Framework; standard contractual clauses apply in addition. The retention period we have configured for user data at Google is a maximum of 14 months. Section 3 lists how long the cookies remain in your browser.

You can withdraw your consent at any time via “Cookie settings” in the footer. Further information: policies.google.com/privacy

5. Meta Pixel

If you have consented to marketing cookies, we use the Meta Pixel of Meta Platforms Ireland Limited, Merrion Road, Dublin 4, Ireland (“Meta”). The pixel allows us to measure the effectiveness of our advertising on Facebook and Instagram and to build advertising audiences (Custom Audiences). Your visit data may be linked to your Meta account if you are logged in there. The legal basis is your consent (Art. 6(1)⁠(a) GDPR).

For the collection and transmission of the data we are jointly responsible with Meta (Art. 26 GDPR); further processing is Meta's sole responsibility. Meta publishes the joint controller agreement online. Data may be transferred to the USA; Meta is certified under the EU-US Data Privacy Framework. The pixel's cookies remain in your browser for up to 3 months (see section 3); how long Meta retains the data it receives is governed by Meta's privacy policy. 6. LinkedIn Insight Tag

If you have consented to marketing cookies, we use the LinkedIn Insight Tag of LinkedIn Ireland Unlimited Company, Wilton Place, Dublin 2, Ireland (“LinkedIn”). The Insight Tag allows us to measure the effectiveness of our advertising on LinkedIn (conversion tracking) and to build advertising audiences (retargeting). Your visit data may be linked to your LinkedIn account if you are logged in there. The legal basis is your consent (Art. 6(1)⁠(a) GDPR).

For the collection and transmission of the data we are jointly responsible with LinkedIn (Art. 26 GDPR); further processing is LinkedIn's sole responsibility. 7. Server log files / hosting

When you access the website, our hosting provider automatically collects information (e.g. IP address, date and time of access, file requested, browser type). This serves the secure and stable operation of the website (Art. 6(1)⁠(f) GDPR). Our hosting provider is IONOS SE, Elgendorfer Str. 57, 56410 Montabaur, Germany, which processes this data on our behalf (Art. 28 GDPR). Log data is deleted after 8 weeks at the latest and is not merged with other data sources.

8. Contact and exhibitor form

If you contact us via the exhibitor form, the details you provide (company, name, position, email, phone, message and the selected package configuration) are stored and emailed to us in order to process your inquiry and possible follow-up questions. The legal basis is taking steps at your request prior to entering into a contract (Art. 6(1)⁠(b) GDPR); your consent is not required for this. To prevent abuse, we briefly process your IP address when you submit the form (shortened for IPv6), based on our legitimate interest (Art. 6(1)⁠(f) GDPR). We only store a hash value with a key that changes daily. It is needed only for the 15-minute lockout period and is then deleted automatically, no later than 24 hours after you submit the form. Our mailboxes, including emails you send us directly, are processed on our behalf by Microsoft Ireland Operations Ltd. (Microsoft 365) as a processor. Data may be transferred to Microsoft Corporation in the USA. Microsoft is certified under the EU-US Data Privacy Framework; standard contractual clauses apply in addition. The data is deleted as soon as it is no longer required for this purpose and no statutory retention obligations apply.

9. Marketplace

Holders of a ticket or exhibitor pass for REPAIRCON26 can publish listings on our marketplace. In this context, we process the content of the listing (type, category, title, description, condition, quantity, price and price basis, whether the price is negotiable, whether you are open to trades, location, photos, whether you will bring the item to REPAIRCON26 or, for wanted listings, whether you will be there, date posted), your contact details (name or company, email address and, if you wish, phone number), your ticket or order number or, for exhibitors, the company name, as well as technical data to prevent abuse (time of submission, IP address in truncated or hashed form).

Purposes and legal bases: Providing the marketplace in accordance with our Terms of Use, namely confirming your email address, checking your ticket or order number against our ticket data, and reviewing and publishing the listing with your name or company and the contact details you have selected (Art. 6(1)⁠(b) GDPR); preventing abuse and handling reports about listings (Art. 6(1)⁠(f) GDPR, our legitimate interest in a secure and legally compliant marketplace, and Art. 6(1)⁠(c) GDPR in conjunction with the Digital Services Act).

Public visibility: After approval, the listing, photos, location, your answer about the show and your name or company are visible to all visitors to the website, and the contact details you have selected become visible once someone clicks “Show contact details.” Publicly visible data can be read, copied and used by third parties; we have no influence over this. If interested parties contact you, this communication takes place directly between you and them, not through us. Your ticket or order number is never published. When photos are uploaded, we remove embedded metadata such as the location where the photo was taken.

Recipients: Our team receives submitted listings by email at marketing@morecon.de; reports and inquiries go to hello@repaircon.de. The data is stored by our hosting provider IONOS SE on our behalf as a processor. Our mailboxes are processed by Microsoft 365 as a processor (see section 8).

Reports and viewing contact details: If you report a listing, we process your name, your email address and the content of the report in order to handle it and reply to you (Art. 6(1)⁠(c) GDPR in conjunction with Art. 16 DSA, Art. 6(1)⁠(f) GDPR), and we delete the data 30 days after the matter has been concluded. If you click “Show contact details,” we briefly process your IP address to protect against mass retrieval (Art. 6(1)⁠(f) GDPR) and delete it after 7 days at the latest.

Retention period and deletion: Listings remain online until November 14, 2026, unless you delete them earlier. We delete submissions whose email address is not confirmed within 7 days. We delete all other data relating to a listing, including the emails to our team, no later than 30 days after the listing expires, is deleted or is rejected, unless statutory retention obligations apply or we need the data to establish, exercise or defend legal claims, for example in the case of a pending report, an objection or a third-party claim; in that case, we delete the data once the matter has been concluded (Art. 17(3)⁠(e) GDPR). After approval, you can delete your listing via the link in the “Your listing is online” email. Before approval, and otherwise at any time, you can request deletion by emailing hello@repaircon.de.

10. Ticket sales (external)

Tickets are sold via Ticket i/O GmbH, Cologne. When you click “Get tickets” you are redirected to their platform, where Ticket i/O GmbH's privacy policy applies. We do not receive any payment data. Ticket i/O provides us with the order and contact details of your booking (in particular name, company, address, email address, order number and tickets booked). We use them to run the event, for example for admission, questions about your booking, organizational information about the show and checking eligibility to participate in the marketplace (Art. 6(1)⁠(b) GDPR), and for internal analyses of ticket sales, such as how many buyers are new or returning (Art. 6(1)⁠(f) GDPR; our legitimate interest in planning our events). We delete the data as soon as it is no longer required for these purposes and no statutory retention obligations apply.

11. LinkedIn Lead Gen Forms

Our ads on LinkedIn include a form you can use to request information about exhibiting at REPAIRCON26 (Lead Gen Form). The form is provided by LinkedIn Ireland Unlimited Company, Wilton Place, Dublin 2, Ireland (“LinkedIn”); you fill it out on LinkedIn, not on this website. We process the details LinkedIn prefills from your LinkedIn profile (first name, last name, email address, phone number and company name), your answer to the question of which hub fits your offering, your consent to be contacted and the information on when and through which LinkedIn campaign and ad your inquiry came in.

Purposes and legal bases: We use the data to send you our exhibitor information, to have one of our co-founders call you back and to send you a quote for a booth. The legal basis is the consent you give by checking the box in the form (Art. 6(1)⁠(a) GDPR); it also covers contacting you by phone and email within the meaning of § 7 of the German Act Against Unfair Competition (UWG). If you request a quote, we also process the data to take steps at your request prior to entering into a contract (Art. 6(1)⁠(b) GDPR).

Recipients: We download the form data from LinkedIn's Campaign Manager, add it to our prospect list, and forward it by email to sales@repaircon.de or to our co-founders. Our prospect list (Excel in OneDrive) and our mailboxes are processed by Microsoft 365 as a processor (see section 8). LinkedIn's privacy policy also applies to processing on LinkedIn. Data may be transferred to the USA; LinkedIn is certified under the EU-US Data Privacy Framework. Further information: linkedin.com/legal/privacy-policy

Retention period and deletion: LinkedIn keeps the form data available for us to download for 90 days. If you do not book a booth, we delete your data no later than January 31, 2027. If you book a booth, the retention periods arising from our contractual relationship or the statutory retention periods apply.

Audiences on LinkedIn: If you interact with our ads on LinkedIn (for example by clicking, reacting or commenting) or open or submit the form, LinkedIn may include you for up to 365 days in an advertising audience that we use (retargeting). We use these audiences to exclude people who have already sent us an inquiry from further ads and to show our ads again to people who interacted with our ads or opened the form without submitting it. LinkedIn builds these audiences on its platform; we cannot see any individuals in them, only their approximate size. As with the Insight Tag (section 6), we are jointly responsible with LinkedIn for building these audiences and using them for our ads (Art. 26 GDPR); further processing is LinkedIn's sole responsibility. The legal basis is our legitimate interest in effective advertising for REPAIRCON26 (Art. 6(1)⁠(f) GDPR). The January 31, 2027 deadline applies only to the form data, not to your inclusion in an audience.

Withdrawal: You can withdraw your consent at any time, with effect for the future, simply by emailing sales@repaircon.de. We will then stop contacting you. To make sure we do not email or call you again by mistake, we keep only your email address and company name in our prospect list, together with a do-not-contact note and the date of your withdrawal; we also delete these details no later than January 31, 2027. The legal basis for this is our legitimate interest in reliably honoring your withdrawal (Art. 6(1)⁠(f) GDPR).

12. Embedded video (YouTube)

We embed the trailer using YouTube's extended privacy mode (youtube-nocookie.com). The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. The preview image is served locally from our server. The video itself only loads when you actively start it by clicking. Only then is a connection to Google/YouTube servers established and data such as your IP address, the page you are visiting and information about your browser transferred; YouTube may also store cookies or similar technologies in your browser. The legal basis is the consent you give by clicking (Art. 6(1)⁠(a) GDPR, § 25(1) TDDDG). Data may be transferred to Google LLC in the USA; Google is certified under the EU-US Data Privacy Framework. 13. Photos and videos at our events

At REPAIRCON, we and the photographers and video teams we commission take photos and videos to report on the event. Visitors, exhibitors, and speakers may be recognizable in them. We publish selected photos and videos on this website, on our social media channels (for example Instagram, LinkedIn, and Facebook), on our YouTube channel, in press materials, and in recaps and announcements of future events. These photographers and video teams act on our behalf. The legal basis is our legitimate interest in documenting and promoting our events (Art. 6(1)⁠(f) GDPR).

The operators of these platforms also process published photos and videos under their own responsibility, which may involve transfers to countries outside the EU, such as the USA. Media outlets that use photos and videos from our press materials do so under their own responsibility. Members of the press, exhibitors, and other visitors are responsible for the photos and videos they take themselves.

If you do not want to be photographed or filmed, please let our team or the photographers on site know. You can object at any time to the processing and publication of photos and videos in which you are recognizable, including after the event, by emailing hello@repaircon.de. We will then remove them from our channels or make you unrecognizable in them to the extent this is within our control. We keep the photos and videos for as long as we use them to report on, look back at, and promote our events.

14. Your rights

You have the right to access, rectification, erasure, restriction of processing, data portability and objection, as well as the right to withdraw consent you have given at any time. You also have the right to lodge a complaint with a data protection supervisory authority.

Right to object: Where we process your data on the basis of Art. 6(1)⁠(f) GDPR (sections 7, 8, 9, 10, 11, and 13), you may object to this processing at any time on grounds relating to your particular situation (Art. 21 GDPR), for example by emailing hello@repaircon.de.

15. Changes to this policy

We will update this privacy policy whenever changes to the website or to legal requirements make this necessary.
